This policy explains how Paul Vu ("OkClerk", "we") handles personal information on our website, demo pages and service.
Business information we control. Contact details of dealership owners and staff, account information, messages with us, and how our website is used. This policy covers it.
Customer Data we process for dealers. Information about a dealership's customers and prospects (for example, a car buyer's name, contact details, messages, vehicle photos and paperwork). We process it only on the dealership's behalf, as its service provider. The dealership's own privacy notice applies. If you are a car buyer, please contact the dealership; we will help it respond to your request.
To provide and secure the service, build demos you request or that we prepare for your dealership, answer you, send service and billing messages, improve the service, and meet legal obligations. Our service uses AI providers to read and draft messages; they process information only to provide that function to us.
Our subprocessors (listed at https://www.okclerk.com/subprocessors), professional advisers, authorities when the law requires, and a buyer of our business if we are acquired (under this policy). We do not sell personal information or share it for cross-context behavioral advertising.
We may email dealerships using business contact information that is publicly available. Every such email tells you how to opt out, and we honor opt-outs promptly.
Our service runs on infrastructure in the United States. Our team may access information from outside the United States, including from Vietnam, to operate and support the service, using the same safeguards described below.
We keep business information while your account is active and as long as needed for legal, tax and security purposes. Customer Data is kept according to the dealership's settings and our Terms of Service.
We protect information with encryption in transit and at rest, multi-factor authentication for access to customer information in the app, access controls and logging.
California residents can ask to know what personal information we hold about them, to correct it, and to delete it, and will not be treated differently for using these rights. Email privacy@okclerk.com with your request. We will verify your request using information we already hold, and an authorized agent may act for you with your written permission. We do not sell or share personal information and do not use sensitive personal information for purposes that require an opt-out.
Our service is for businesses and is not directed to children under 16.
